Contract Management Best Practices

Learn how other UWEBC members are managing their array of contracts and how they are making the process more efficient. 

The health and safety of our members is the UWEBC’s top priority. UW–Madison is monitoring the COVID-19 situation in collaboration with local, state and federal agencies. Based on campus' guidance, the May 19 Indirect Procurement Special Interest Group meeting will be held via web only to allow our members a convenient and safe way to attend.

One of the biggest challenges in procurement, after getting the right product/service at the right price when and where you want, is how to set up the contract that works for both you and the supplier and manage it in an effective and efficient manner. From standard boiler plates on paper to product/service specific on custom databases and software specific to cataloging, there is no one type fits all and all have their positives and negatives.

One thing we can all agree on, is there is a push to move away from paper only solutions and outdated terms. Today's procurement professional needs to be able to search contract language and specifications quickly in order to ensure service, price and quality is being maintained and able to share that information, not only with suppliers, but internally.

We will use this online only session to discuss how members are setting up contracts that protect them and ensure they are written in a way that a true partnership can form. Kohler will be talking about their best practices and where they are on the journey to digitizing their contract management process. We also have lined up Jennifer Jin, an attorney that focuses on contract management in the supply chain realm, to discuss risk mitigation and force majeure issues in these changing times. We will have a Q&A session with our speakers and other panelists to wrap-up the meeting.
